The Customer Service Administrative Assistant will play a key role in the organization and daily operations. As well as providing customer service, clerical and administrative support in order to ensure that all services are provided in an efficient manner.

Main Purpose of Job:

The Customer Service Administrative Assistant is responsible for handling an array of front-facing duties. Help customers with complaints and questions, give customers information about products and services, take and process sales orders, prepare correspondences and fulfill customer needs to ensure total customer satisfaction both external and internal.

Throughout all these interactions the Customer Service Administrative Assistant is expected to maintain a high level of professionalism, add value and present the organization in the best light possible.

RESPONSIBILITES & DUTIES

Answer incoming customer calls regarding sales orders, product problems, service questions and general concerns

Maintain a high level of professionalism with customers and work towards establishing a positive rapport with every caller

Verify customer information in the customer service database during and after each call and refer any changes to the Sales Manager.

Take and log customer complaints and refer to the Sales Manager for resolution and direction

Process sales order entry, invoicing and delivery notes ensuring that all relevant documentation have been processed accurately and authorized (Price, Particulars, Location)

Keep abreast of new product launches, innovations, customer changing needs and buying patterns

File and secure all customer service document as it relates to Credit Note Books, Invoices, Goods Return and Drivers Daily Distribution Report

Ensure all files leaving the filing room are logged in and out respectively

Verify standing orders with Sales Representatives before processing

Conduct Telemarketing calls as assigned

Keep on top of DFC/CCL customer pricing information and special arrangements especially on invoicing

Monitor Back Order Reports and communicate with the Sales Representatives and Customer Service Officer for appropriate action

Assist in the compilation of Reports: Daily Sales Order Report, Order Dispatch Report, Daily Order Received Report

Adhere to all company policies

Perform any other duties outlined by the Office of the Sales Manager
