Professional Qualifications Required

- Advanced Diploma in Business/Administrative Management or equivalent APS/ABE and combination secretarial training - Minimum of Five (5) years experience in Office Administration or related field

Technical / Vocational Skills Required

• Strong planning, analytical, and problem-solving skills • Proficient in Compulink or comparable retail business systems • Excellent written, verbal, and interpersonal communication skills • High integrity with the ability to work autonomously and maintain confidentiality • Proficient in Microsoft Office Suite (Word, Excel, etc.) • Strong organizational skills with effective prioritization and follow up • Proven ability to meet deadlines and manage competing priorities

Job Description

The role is responsible for a high level confidential and administrative duties in support of the work of the Manager Retail Sales and Operations.

Job Details / Responsibilities

ESSENTIAL FUNCTIONS AND BASIC DUTIES

• Track work activities and report on progress of projects and initiatives for the Manager Retail Sales and Operations. 

• Provide administrative and clerical support to the Manager Retail Sales and Operations. 

• Process and record leave requests for direct reports to the Manager Retail Sales and Operations.

• Receive, review, and process travel claim submissions for management approval.

• Prepare monthly rosters and schedules for Optometrists and Dispensing Opticians for management         approval. 

• Update and maintain approved retail package pricing within Compulink or other company systems. 

• Resolve pricing discrepancies from branches and communicate outcomes to relevant stakeholders. 

• Prepare incentive calculations for submission for management review and approval.

• Manage electronic and manual filing systems to ensure accurate recordkeeping and easy retrieval. 

• Coordinate foreign business travel, accommodations, and required documentation. 

• Review and edit correspondence, reports, and documents for the Manager Retail Sales and Operations 

• Monitor and maintain office supplies and inventory for the Manager Retail Sales and Operations.
