Professional Qualifications Required

Associates Degree - Office Administration or equivalent or Certification – Office Administration Two (2) years experience as an Administrative Assistant. Previous experience of working as an Office Administrator. Experience of, and ability, to prepare office correspondences. Experience of planning and organising formal meetings. Strong organizational and multitasking skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Excellent written and verbal communication skills. Strong attention to detail and the ability to maintain confidentiality. Knowledge of logistics coordination is a plus. Ability to work in a fast-paced, team-oriented environment.

Job Description

We are seeking an organized and proactive Administrative Assistant to provide crucial support to our team. The ideal candidate will be responsible for managing daily administrative tasks, logistics coordination, and ensuring smooth communication across departments. If you are detail-oriented, have strong organizational skills, and can handle multiple responsibilities, we would love to hear from you.

Job Details / Responsibilities

Administrative Support:

  • Provide front desk coverage, manage incoming and outgoing mail, and handle email correspondence.
  • Execute package preparation and delivery to head office, ensuring proper documentation.
  • Provide direct administrative support to the team, including generating and distributing memos, letters, forms, and emails.
  • Develop and maintain both computer and manual filing systems, contact databases, and office inventories.
  • Handle office tasks, including answering and directing phone calls to the appropriate parties.
  • Maintain office equipment, including photocopiers, scanners, and other office machinery.
  • Prepare invoices and purchase orders for customers through the HRSM Database.

Logistics Support:

  • Validate shipping documents and ensure that brokers receive original documents.
  • Coordinate with brokers and couriers for collection of supporting drafts.
  • Communicate and coordinate with the warehouse regarding logistics, container arrivals, and haulage services.
  • Provide support in sourcing external services to expedite warehouse activities, such as organizing Hucksters.
  • Assist the sales team by providing timely customer information regarding incoming containers and their contents.

Other Duties:

  • Follow through on purchase orders submitted to the head office, ensuring timely submission of supporting documents in collaboration with the sales team.
  • Maintain an organized and clean office environment.
  • Handle customer inquiries and complaints in a professional and efficient manner.
  • Provide any necessary support to the team as requested.
  • Carry out any other duties as assigned by the team or management.
