Certificate in Supply Chain Management/Procurement or similar field 5 years' experience in industry and 3 years' experience in similar role

As an Engineering Administrative Assistant, you will play a crucial role in supporting the Engineering department by ensuring the efficient and effective execution of procurement processes for projects and generating quotations for all services offered by the company.
• Assisting in project coordination inclusive of tracking project milestones and deadlines.
• Liaising with internal departments and external vendors to ensure smooth project delivery.
• Scheduling and coordinating meetings for the management team and clients.
• Producing warranty claim forms and documents for suppliers as needed
Maintaining a healthy and organized filing system for:
Engineering documents
Client files/database
Project equipment used/installed
Producing various reports for:
Internal records
Client hand over packages
Managing all incoming Request for Tenders by:
o Sourcing and providing relevant documents requested such as bill of quantities, equipment specifications, HVAC drawings and mechanical drawings etc.
o Ensuring all documents are uploaded and submitted in a timely manner/within (or before) stipulated deadline
Developing quotations for all company operations for repairs, installations, servicing, replacements, duct work/cleaning and unit sales by:
o Utilizing the information from work order forms to create requested quotations for clients using designated electronic platform.
o Ensuring that the materials/parts needed for each quote is sourced from suppliers using the most cost effective strategies.
o Ensuring quotation is approved and signed off on from Management and sent to the relevant department for sendoff.
