Job Description

Job Summary: The Administrative Assistant will assist with coordination and functioning of the service department in order to generate the highest levels of revenue at the lower cost with the shortest time frames possible.

Job Details / Responsibilities

  1. Ensures all request for quotations (i.e. repairs, change out , service etc) are prepared and delivered timely.
  2. Liaises regularly with the purchasing/parts department, to keep up to date with prices of stock that would be used in quotations.
  3. Assist with the preparation of all tender bids and pre-qualification documents: ensures all related documents are provided and deadlines are met.
  4. Provides and/or oversee support activities for the department such as answering telephones, review and control of incoming and outgoing correspondence and follow up, but not limited to operational commitments to the department’s customers.
  5. Schedules, coordinates and follows up on issues relating to meetings, etc for the Operations Team as required.
  6. Prepares and maintains the official minutes and notices of all meetings.
  7. Ensures that follow-up meetings are scheduled to ensure all related documents are provided e.g. quotes, tenders etc.
  8. Assist with the coordination / dispatching of all service jobs inclusive of contracts and on-offs in the absence of the Operations Team Lead to ensure timely commencement and completion of same.
  9. Analyses completed job tickets to ensure all necessary information is recorder.
  10. Follows up on customer request / complaints as stated on the completed job tickets or  through incoming calls.
  11. Ensures invoices are completed within 48 hours of receipt of completed job tickets.
  12. Researches information, compiles statistics, gathers and computes various operations relate data.
  13. Serves as a central point of liaison with other service personnel, departments and external clients in the execution of a variety of service-related matters.
